Terms and Conditions of Booking

These Terms and Conditions apply to all bookings made with Little Orchard Bed & Breakfast from the above date onwards.

These Terms and Conditions form a legally binding contract between Little Orchard Bed & Breakfast (“we”, “our”, “us”) and the person making the booking (“the lead guest”).

By making a reservation, whether directly with us or through a third-party booking platform, you confirm that you have read, understood and accepted these Terms and Conditions on behalf of yourself and all members of your booking party.

A booking becomes legally binding once we have issued a booking confirmation and received the required deposit or, where applicable, full payment. We reserve your accommodation exclusively for you from that time and may decline other booking requests for the same dates.

Please read these Terms and Conditions carefully before making your reservation.

1. Booking

The lead guest must be at least 18 years of age.

The person making the booking accepts responsibility for all members of their booking party and for ensuring that all payments due under these Terms and Conditions are paid.

The maximum occupancy of each room is shown on our website and must not be exceeded without our prior agreement.

Only guests named on the booking may stay at Little Orchard Bed & Breakfast. Visitors are not permitted without prior approval.

2. Deposits and Payment

For standard bookings, a deposit of 50% of the total booking value is required to secure your reservation.

Your booking is not confirmed until the deposit has been received and cleared.

The remaining balance is payable 14 days before your scheduled arrival date.

For bookings made within 14 days of arrival, full payment is required at the time of booking.

For special event bookings, including Goodwood Festival of Speed, Goodwood Members’ Meeting, Goodwood Revival, Glorious Goodwood Horse Racing and other dates identified by Little Orchard Bed & Breakfast as special event periods, full payment may be required at the time of booking.

Special event bookings are only confirmed once full payment has been received in cleared funds.

If any payment due under these Terms and Conditions is not received by the required date, we reserve the right to cancel the booking without further notice and re-let the accommodation. Any payments already made may be retained in accordance with these Terms and Conditions.

Payments can be made by debit card, credit card or bank transfer.

Any bank charges incurred due to failed or reversed payments remain the responsibility of the guest.

3. Cancellation Policy – Standard Bookings

As a small independent Bed & Breakfast, cancellations can have a significant impact on our business. By accepting a booking, we reserve your room exclusively for you and may decline other enquiries for the same dates.

Guest Cancellation

More than 21 days before the scheduled arrival date

  • The deposit will be refunded in full.

21 days or less before the scheduled arrival date

  • The deposit becomes non-refundable.

14 days or less before the scheduled arrival date

  • The full balance of the booking becomes immediately due and payable.

Bookings made within 14 days of arrival

  • Full payment is required at the time of booking and is non-refundable.

If we are able to re-let your room for the same dates and at the same rate, we may, at our sole discretion, offer a full or partial refund, less any reasonable administration or transaction costs.

Any refund offered following re-letting is entirely at the discretion of Little Orchard Bed & Breakfast and does not create an obligation to refund future cancellations.

We appreciate that unforeseen circumstances can arise. However, as a small independent Bed & Breakfast, we are unable to make exceptions to our cancellation policy.

We strongly recommend that guests take out suitable travel and cancellation insurance at the time of booking.

4. Special Event Bookings

Due to the exceptional demand and limited availability of accommodation during major local events, bookings made for special event periods are subject to enhanced cancellation terms.

Special event periods include, but are not limited to:

  • Goodwood Festival of Speed;
  • Goodwood Members’ Meeting;
  • Goodwood Revival;
  • Glorious Goodwood Horse Racing;
  • and any other major events or dates identified by Little Orchard Bed & Breakfast.

For these bookings:

  • Full payment may be required at the time of booking.
  • All payments are non-refundable once the booking has been confirmed.
  • In the event of cancellation, the full booking amount remains payable.

If we are able to successfully re-let the room(s) for the same dates and at the same rate, we may, at our discretion, offer a refund of some or all monies paid, less any reasonable administration or transaction costs.

Any refund offered following re-letting is entirely discretionary.

Guests booking during special event periods are strongly advised to obtain suitable travel and cancellation insurance before confirming their reservation.

By making a special event booking, guests acknowledge and accept these enhanced cancellation terms.

5. Non-Arrival and Early Departure

Guests who fail to arrive on their scheduled arrival date without prior agreement remain liable for the full cost of the booking.

Guests who choose to depart before the end of their booked stay will not receive a refund for unused nights.

6. Cancellation by Little Orchard Bed & Breakfast

In the unlikely event that we need to cancel your booking, we will refund all monies paid.

Our liability is limited to the amount paid for your booking. We cannot accept responsibility for travel costs, alternative accommodation or any other consequential losses.

7. Check-in and Check-out

Check-in:
3.00 pm – 9.00 pm

Please advise us if you expect to arrive later than 9.00 pm.

Check-out:
By 11.00 am on the day of departure.

8. Guest Conduct

Guests are expected to respect the comfort, privacy and enjoyment of other guests, neighbours and the owners at all times.

We reserve the right to terminate a booking immediately without refund if guests:

  • behave in an abusive, threatening or inappropriate manner;
  • cause excessive noise or disturbance;
  • damage the property;
  • exceed the permitted occupancy;
  • allow unauthorised visitors.

9. Damage

Guests are responsible for any damage caused by themselves or members of their booking party.

We reserve the right to charge the lead guest for the reasonable cost of repairing or replacing damaged items, fixtures, fittings or furnishings.

Any accidental damage must be reported as soon as possible.

10. Smoking and Vaping

Little Orchard Bed & Breakfast operates a strict no-smoking and no-vaping policy inside the house.

Smoking and vaping are only permitted in designated outdoor areas.

Additional cleaning charges may apply if smoking or vaping takes place inside the property.

11. Pets

Unfortunately, we are unable to accommodate pets.

Registered assistance dogs are welcome by prior arrangement.

12. Parking

Complimentary on-site parking is provided for the convenience of guests.

All vehicles are parked and left on the premises entirely at the vehicle owner’s risk.

Little Orchard Bed & Breakfast accepts no responsibility for any loss of or damage to vehicles, their contents or accessories while parked on the property, except where such loss or damage arises as a direct result of our negligence or where liability cannot legally be excluded.

Guests are responsible for ensuring vehicles are securely locked and that valuables are removed or kept out of sight.

Vehicles must be parked considerately and only in designated parking areas.

Electric vehicle charging is not permitted using standard domestic sockets or extension leads without prior permission.

13. Wi-Fi

Complimentary Wi-Fi is provided for reasonable personal use.

Guests must not use the internet connection for unlawful purposes or activities that may affect other users or the operation of our network.

14. Lost Property

Lost property found after departure will be retained for one month where practical.

If requested, items can be returned by recorded delivery at the guest’s expense.

We cannot accept responsibility for items left behind.

15. Booking Amendments and Special Requests

Requests to amend booking dates are subject to availability and are entirely at our discretion.

Changes requested within 14 days of arrival will normally be treated as a cancellation and the cancellation policy will apply.

We will make every effort to accommodate special requests, including room preferences and dietary requirements, but these cannot be guaranteed unless confirmed in writing.

16. Card Payments and Chargebacks

By making payment by credit or debit card, you confirm that you are authorised to use the card and accept these Terms and Conditions.

You agree not to initiate a chargeback or payment dispute in relation to payments that have become due under these Terms and Conditions.

In the event of a payment dispute, we reserve the right to provide booking confirmations, payment records, correspondence and these Terms and Conditions to the relevant payment provider as evidence that the booking was accepted.

Nothing in this clause affects your statutory rights.

17. Privacy

Personal information is collected and processed in accordance with UK data protection legislation and our Privacy Policy.

Guest registration details will be retained where required by law.

18. Complaints

Should you have any concerns during your stay, please notify us immediately so that we have the opportunity to resolve the matter.

We are committed to providing excellent hospitality and will make every reasonable effort to address genuine concerns.

19. Force Majeure

We shall not be liable for failure to provide accommodation due to circumstances beyond our reasonable control, including severe weather, fire, flood, power failure, industrial action or other unforeseen events.

20. Governing Law

These Terms and Conditions are governed by the laws of England and Wales.

Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.

By making a booking with Little Orchard Bed & Breakfast, guests confirm that they have read, understood and accepted these Terms and Conditions.
